SafeWork Psychology Pty Ltd ("we", "us", "our") is committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). 1. What Personal Information we collect

“Personal Information” means information or an opinion about an identifiable individual. In the course of our consulting work, we may collect:

  • name, job title and contact details

  • email address, phone number and workplace details

  • information provided in meetings, interviews, surveys or training

  • organisational information provided by clients

  • information collected through our website or online tools

  • any other information required to deliver our services

 

Sensitive Information

In some engagements, particularly psychosocial risk assessments, we may collect “Sensitive Information” such as:

  • information about health, psychological wellbeing or safety concerns

  • information about workplace experiences, behaviours, or incidents

  • demographic information if provided voluntarily

We only collect sensitive information with consent or where authorised by law.

 

2. How we collect Personal Information

We may collect information:

  • directly from you (email, phone, meetings, interviews, surveys)

  • via our website: www.safeworkpsychology.com.au

  • from client organisations that engage us

  • through online forms or assessment tools

  • from publicly available sources

  • from third parties where authorised or reasonably expected in the context of our services

 

Where we receive information from a third party, we will take reasonable steps to notify you where appropriate.

 

3. Why we collect Personal Information

We collect Personal Information for the primary purpose of:

  • providing consulting, assessment, training and advisory services

  • undertaking psychosocial risk assessments and related work

  • communicating with clients and stakeholders

  • managing administrative and business functions

 

We may also use Personal Information for:

  • purposes related to the primary purpose (e.g., reporting, delivery of findings)

  • quality assurance and continuous improvement

  • marketing and newsletters, where you have provided consent (you may opt out at any time)

 

4. Disclosure of Personal Information

We only disclose Personal Information in the following circumstances:

  • to the client organisation that engaged us (in aggregated or de-identified form unless otherwise agreed)

  • to third parties where you consent to disclosure

  • to service providers who support our IT systems (e.g., Microsoft 365)

  • where required or authorised by law

 

We do not sell or share personal information with unrelated third parties for marketing or profiling.

 

5. Security and Storage of Personal Information

We take reasonable steps to protect the security of Personal Information.

  • Client data is stored securely within Microsoft 365 using multi-factor authentication.

  • All computers and devices are encrypted and password protected.

  • Access is restricted to the two directors of SafeWork Psychology only.

  • Information is transmitted securely and stored within controlled project folders.

 

When Personal Information is no longer required, we will take reasonable steps to destroy or de-identify it, unless it is required to be retained for legal or contractual reasons.

 

Client assessment materials may be stored for a minimum of 7 years, consistent with professional practice requirements.

 

6. Data Breaches

SafeWork Psychology complies with the Notifiable Data Breaches (NDB) Scheme under the Privacy Act. If a data breach is likely to cause serious harm, we will:

  • immediately contain and assess the breach

  • notify affected individuals and the client organisation

  • notify the Office of the Australian Information Commissioner (OAIC), if required

  • take steps to prevent the breach from recurring

 

7. Access and Correction

You may request access to the Personal Information we hold about you and request corrections where necessary. Requests must be made in writing to:

We will require proof of identity before releasing information. No fee applies for access requests; however, administrative fees may apply for providing copies.

 

8. Maintaining the Accuracy of Personal Information

We take reasonable steps to keep Personal Information accurate and up to date.
If you believe information we hold is incorrect, please contact us so we can update it promptly.

 

9. Cookies, Website Analytics and Online Activity

Our website may use cookies, analytics tools and similar technologies to:

  • analyse website traffic

  • improve user experience

  • support website functionality

Cookies may be session-based or persistent. You can adjust browser settings to refuse cookies, although this may affect website functionality. We do not identify individuals from analytic data.
